How to connect/sync a calendar to your Travelnest account

Keep your availability accurate across all platforms

Keeping your calendar up to date is essential if you take bookings outside of Travelnest, such as through Airbnb, Vrbo or your own website. Connecting your Travelnest calendar with other calendars helps prevent double bookings and makes managing availability much simpler.


When to connect your calendar

Connecting calendars is ideal if:

  • You have your own listing on Airbnb or Vrbo and want those bookings to show in Travelnest.

  • You take direct bookings (for example, through your own website) and need them reflected in Travelnest. 

  • You want Travelnest bookings to appear in a personal or shared calendar.

Calendar connections can be one-way or two-way (also known as iCal or calendar sync), depending on your needs.


Start in your Travelnest calendar

  • Existing users: From your Travelnest dashboard, go to the Calendar tab in the main navigation.
  • New users (not yet live): Go to Pricing and availability in your property setup, then find the Availability section.


If you manage multiple properties, connections are set up per property. Select the property you want to connect at the top of the calendar page, then click Connect calendars. Repeat this process for each property you’d like to link.


Once you’re in the calendar view for the correct property, click the cog icon in the top-right corner, then select Connect calendars.


Choose your connection type

You’ll see two options:

  1. Connect and sync your bookings with other sites
    Use this if you list elsewhere (e.g. Airbnb or Vrbo) and want bookings to sync automatically both ways.

  2. Share Travelnest bookings one-way to a calendar
    Use this if you want Travelnest bookings to show automatically in a personal or shared calendar (e.g. Google Calendar or Outlook).


Option 1: Connect and sync with other sites

If you still have active listings on the same websites you’re listing with through Travelnest, make sure you snooze or deactivate those listings. Listing duplicates is a breach of your contract with Travelnest and is also against the booking sites’ policies. 


If you prefer to keep your external listings active, you must deselect that booking channel in the Channels section of your Travelnest account and ensure calendars are kept in sync to avoid double bookings.


Use this to create a two-way connection between Travelnest and platforms like Airbnb or Vrbo.


1. Share your Travelnest calendar

  • Copy your Travelnest calendar link.

  • Follow the guidance provided by the other platform (e.g. Airbnb or Vrbo) to connect a third-party calendar. 

  • For help, see:

2. Add the calendar link from the other platform to Travelnest

  • Paste the .ics calendar link from your other platform into Travelnest.

  • (Optional) Add a nickname, such as “Airbnb – Main Flat”, to help manage multiple connections.

  • If a nickname is not added, we will default to the domain of the calendar link.

Once both steps are completed, your calendars will sync automatically.


Option 2:  Share Travelnest bookings one way

If you’d like to show your Travelnest bookings in a personal calendar (like Google Calendar or Outlook):

  • Copy the Travelnest calendar link.

  • Paste it into your external calendar app using their add external calendar feature.

  • Refer to their support site for specific instructions.


Managing your calendar connections

From the Connect calendars page, you can view and manage all your connections.


  • Force sync: Click the ellipsis (…) next to a calendar to manually trigger a sync. This is useful if you need an immediate sync and don't want to wait for the automatic process to take place.

  • Remove connection:

    1. First, log in to the external site and remove the Travelnest calendar.

    2. Then, return to Travelnest and choose whether to keep or remove previously synced bookings.


Be careful — if you remove synced bookings, those dates will become available again in Travelnest, which could result in double bookings.


Fixing sync issues

If a calendar connection fails, we’ll mark it with a red dot and "Sync issue" label.

  • Click the ellipsis (…) and select Fix sync issue.

  • You’ll see the date of the last successful sync.

  • Re-enter the original calendar link from the other site to revalidate it.

Important: Cancellation policy

Please note that if a double booking occurs due to unconnected or incorrectly synchronised calendars, a £160 + VAT cancellation fee per booking may apply.


To avoid this, always complete both steps when syncing your calendars with external sites.


FAQ


Can I connect my Travelnest calendar to tools like Guesty or Smoobu?


Yes — Travelnest supports connections with any platform that uses standard .ics calendar files. This means you can send your Travelnest calendar to, or receive booking data from, platforms like Guesty or Smoobu—provided they support iCal integration.


However, this setup can become technically complex. For instance, if another platform (like Guesty) also pulls from or pushes to other calendars, data may not flow correctly through all systems. To avoid sync issues, we strongly recommend:

  • Keeping your calendar setup simple.

  • Connecting only one external calendar to your Travelnest account.

  • Managing all your bookings via Travelnest, where possible.


Please note, Travelnest cannot accept responsibility for double bookings caused by third-party configurations.


If I block a date on Airbnb, will it be blocked on Travelnest?

Yes — If your Airbnb calendar is connected to Travelnest, any booked or blocked dates will sync automatically.


However, manually blocked dates need to be blocked separately on Airbnb and Travelnest.


What if I block a date on my personal calendar?


If your Travelnest calendar is connected to a personal or shared calendar (like Google or Outlook), any event you add there will appear in Travelnest as a blocked date.

To avoid accidental blocks, we recommend using personal calendar connections for viewing only, not editing. Always manage your availability directly in Travelnest or through your connected booking sites.
