Travelnest handles all pre-booking enquiries from guests from all channels except for Airbnb and Booking.com. To find out how to handle guest communication for Airbnb and Booking.com channels please read our guide here.
For all the other channels such as Expedia and Holidu once we have received a booking for your property, our team will send you a confirmation email and an SMS which contains all the relevant booking information including property name, dates booked, guest name and contact information. Once you have this information, it's over to you to reach out to your guests.
We recommend the following 3-steps for effective guest communication:
The short introductory message soon after the booking is first confirmed.
Guest welcome email a week to 10 days prior to the date of check-in.
A reminder email 1-2 days before the date of check-in
We recommend sending a guest welcome email around a week to 10 days prior to the date of each check-in. By this time, guests will be getting ready for their upcoming stay, and finalising their travel plans and itinerary. This gives guests peace of mind and avoids the situation where guests are looking to you for answers to common questions.
Here's a template you can use which covers all the important details guests will be looking for. We also recommend sending a further reminder message to reiterate this information a day or two before their arrival date.
